Key Responsibilities / Overview
With breathtaking panoramic views of the coastal mountain range, the Stawamus Chief and Howe Sound, the Sea to Sky Gondola offers a picture-perfect venue for weddings, corporate and private events, group experiences and special celebrations. As a member of the Sales Team, the Sales Catering & Event Coordinator plays a key role in generating, converting and coordinating weddings, corporate and private events and travel trade visits. This position is responsible for building strong guest and partner relationships, preparing compelling proposals, supporting sales and promotional initiatives, and liaising with the Sea to Sky Gondola team to deliver exceptional guest experiences that support revenue growth.
The ideal candidate is personable, highly organized, sales minded and team oriented, with relevant experience in hospitality, tourism, event sales, catering or group business. Their written and verbal communication skills are professional, tactful and welcoming. They have proficient skills in Microsoft 365, including outlook, excel, word, powerpoint, sharepoint and teams, along with the ability to identify and implement process and system improvements.
Main Duties & Responsibilities
Sales & Business Development
- Act as a main point of contact for all sales-related leads and inquiries, including weddings, special events, group and travel trade visits.
- Follow up on all leads and inquiries to maximize conversion opportunities.
- Maintain lead, prospect, and booking records within CRM systems, ensuring accurate pipeline tracking and timely follow-up.
- Prepare customized proposals, estimates and sales presentations for prospective weddings, group visits and special events.
- Proactively identify opportunities to generate new business.
- Upsell Sea to Sky Gondola products, experiences, catering options, venue enhancements and group offerings whenever appropriate.
- Conduct site tours with prospective guests, wedding couples, event planners and tour operators.
- Prepare contracts, payment terms and event orders for confirmed weddings, special events and groups, ensuring details are accurate and aligned with operational requirements.
- Represent the Sea to Sky Gondola at sales-focused bridal shows, trade shows and tourism industry events.
- Conduct proactive outreach to wedding professionals, corporate clients, and event planners.
- Assist in achieving individual and team sales goals by supporting lead conversion, repeat business, referrals and revenue growth.
- Monitor competitor offerings, guest feedback and industry trends, and provide recommendations to improve sales performance and guest experience.
- Assist in executing annual sales strategies and revenue growth initiatives.
Marketing & Promotional Support
- Collaborate with the Marketing Team to develop compelling content featuring weddings, events, and group experiences.
- Support the development of promotional materials, sales collateral, website content, social media promotions, email campaigns and partner communications.
- Procure photos, videos, testimonials, and event highlights that showcase the venue and guest experience.
- Support familiarization tours, site visits, and industry showcases as required.
Event Planning & Coordination
- Create accurate banquet event orders that include detailed information on the agenda, arrival/departure information, menu items, room set up, and billing arrangements, and any special requirements.
- Set and manage tasks for contract timelines, deposits, final billing, payments and important milestones for wedding and special event planning.
- Liaise with guests, planners and conveners before, during, and after all functions to ensure expectations are understood and exceeded.
- Conduct pre-event surveys or planning meetings as required.
- Respond to all guest needs and requests in a timely and professional manner.
- Act as liaison between wedding planners, couples, guests, convenors, outside vendors and internal team members.
- Liaise with the Catering & Events Manager to coordinate and transition contracted events into detailed operational planning, while remaining the primary sales and client relationship contact throughout the event lifecycle.
- Develop a close working relationship with the Sea to Sky Gondola catering team.
- Communicate event requirements, final details, floorplans, timelines and last minute changes accurately and promptly to all relevant departments.
- Attend daily, weekly, and monthly meetings to ensure distribution of information and assist in problem solving decisions.
- Debrief on events and analyze event data to provide recommendations for improvement and growth.
- Other duties as required.
Required Knowledge, Skills & Abilities
- Passion for delivering exceptional guest experiences and creating memorable events.
- Strong sales aptitude and relationship-building skills.
- Strong communication skills, with the ability to contribute clear, engaging and brand-aligned sales and promotional content.
- Highly organized and logistics oriented.
- Ability to manage multiple projects with a high level of professionalism and attention to detail.
- Effective and adaptable problem solver.
- Available to work a flexible schedule, including occasional evenings, weekends, holidays, offsite trade shows and industry events.
Required Training, Education and Experience
- Two to five years of experience in tourism, hospitality sales, food services or customer service.
- Experience achieving sales goals, preparing client proposals, negotiating contracts and managing client relationships.
- Experience using CRM, event management, and sales software.
- Secondary school diploma or equivalent.
- Post secondary education in hospitality, tourism, meeting and event planning, communications, or public relations, or a related field is an asset.
- Valid BC Driver’s License.
