Key Responsibilities / Overview
With breathtaking panoramic views of the coastal mountain range, the Stawamus Chief and Howe Sound, the Sea to Sky Gondola offers a picture-perfect venue for meetings and special events. As a member of the Sales Team, the Sales Catering & Events Coordinator position plays a key role in liaising between guests and the Sea to Sky Gondola Group Sales, Catering & Events, Food and Beverage and Operations teams to negotiate and coordinate group visits, functions and events, including weddings, proposals, corporate events and travel partners.
The ideal candidate for this role is personable, highly organized, and team oriented, with several years of hospitality experience selling and executing large catered events. Their written and verbal communication skills are professional, tactful and welcoming. They have proficient skills in Microsoft suite of services, including outlook, excel, word, powerpoint, sharepoint and teams environments, along with the ability to identify and implement process and system improvements.
Main Duties & Responsibilities
- Promptly respond to leads and inquiries received through sales software program and/or the group sales email.
- Enter prospective leads into sales software program.
- Prepare proposals for prospective meetings and events.
- Upsell Sea to Sky Gondola products and experiences whenever possible (including activities, suspension bridge, A/V, food and beverage, retail, etc).
- Conduct site tours/inspections with prospective guests, travel planners and event convenors.
- Prepare contracts and payment terms for confirmed meetings and events.
- Liaise with the Group Sales Coordinator to transition contracted events to the Sales Catering & Event Coordinator.
- Create accurate banquet event orders that include detailed information on the agenda, arrival/departure information, menu items, room set up, and billing arrangements, and any other special requirements.
- Set tasks for additional deposits, and important dates.
- Manage payment schedule for all events, including weddings, corporate and other events.
- Liaise with planners/clients/conveners before, during, and after all functions to ensure expectations are exceeded.
- Understand and respond to all guest needs and requests in a timely and professional manner.
- Act as liaison between wedding planners, bride/groom, and convenors. This includes establishing billing, handling on site event logistics, coordinating outside vendors, and enforcing the contract.
- Develop a close working relationship with catering and kitchen teams.
- Work with catering manager on floorplans.
- Distribute function details in a timely manner and with attention to detail.
- Meet client and conduct pre-event review.
- Communicate last minute changes to all departments.
- Attend daily, weekly, and monthly meetings to ensure distribution of information and assist in problem solving decisions.
- Send final bills to client and follow up to ensure payment has been paid (due 7 days post event).
- Debrief on events and analyze event data to provide recommendations for improvement and growth.
- Represent the Sea to Sky Gondola in sales focused trade shows and events.
- Assist in the preparation of the annual Sales & Marketing plan.
- Other duties as required.
Required Knowledge, Skills & Abilities

Required Training, Education and Experience
- Secondary school diploma or equivalent.
- Post secondary education in hospitality, meeting and event planning, communications, or public relations an asset.
- Prior experience coordinating and executing successful meetings and incentive travel, catering and events.
- Experience in tourism, hospitality sales, food services, contract negotiations and customer service.
- Valid BC Driver’s License.
