Food and Beverage Administrator (Maternity Leave)

Reporting to the Food & Beverage Director, the Food & Beverage Administrator plays a key role in supporting the administrative and HR functions of the department. This position handles weekly invoice entry, assists with month-end processes and financial tracking, and supports the Executive Chef with recruitment tasks—including scheduling and participating in interviews.

Duties and Responsibilities:

• Work closely with the Human Resources Coordinator to assist and support recruitment of new team members by providing up to date information on recruiting needs, completing all screening interviews, reference checks, offer letters and complete exit interviews, staff head count tracking,

• Assist with onboarding all new F&B hires

• Support on Inventory platforms

• Scheduling training.

• Scheduling staff gatherings

• Ensure new team members complete mandatory training and are supported with the tools to perform their job functions

• Support sustainability goals to reduce waste and energy consumption and encourage employee and guest engagement  

• Ensure all payroll paperwork is completed and submitted to the HR & Payroll Coordinator in a timely manner (separation paperwork, vacation request forms, status change forms etc.)

• Review and submit departmental payroll biweekly, including gratuity payouts

• Work closely with the Accounting team to ensure monthly COGS is accurate and assist with month end duties

• Support the inputting of invoicing weekly

• Liaison with all Food and Beverage vendors

• Complete daily revenue and hours tracking

• Seek out and share special event information with daily teams and guests

• Be a department representative and ensure compliance with Sea to Sky Gondola Occupational Health and Safety Program and the Regulation of WorkSafeBC, attending all meetings and promote safety awareness to all team members

• Ensure team members report any unsafe conditions, practices, or injuries as soon as possible and take appropriate actions

• All other duties as assigned

Skills and Experience

• Minimum 2 years’ experience as a manager or supervisor or administrative role in a high volume F&B environment

• Diploma or certificate in Hotel/Restaurant Management or the equivalent is preferred

• Must be able to build and maintain credibility and relationships with guests (internal and external)

• Strong organization and planning skills

• Strong working knowledge of MS Office applications (Word, Excel, Publisher)

• Knowledge of an invoicing software comparable to Orca is an asset

• Previous POS experience

• Proven ability in managing time is critical; must be able to plan and execute effectively and efficiently

• Proven track record as a hands on leader with great communication skills

• Knowledge of quick food and beverage operations

• Excellent problem solving skills

• Able to remain calm under stressful situations

• Knowledge of food service techniques and cost controls

• Passion for people and the outdoors
